Free Financial System Health Check

for Small Business Owners

Get clarity on your bookkeeping without a sales pitch.

Most business owners don't actually need more reports. They need to know whether their numbers are accurate, complete, and decision-ready.

The Kellcat Financial System Health Check gives you a clear and honest assessment of your current bookkeeping system where you can find out what's working, what's breaking down, and what it would take to get clean, reliable, and decision-ready numbers with zero obligation.

No sales pressure. Takes about 5-7 minutes.

This Is Not a Sales Call. It’s a Clarity Check.

Most business owners don’t need another sales conversation. They need clear answers.

The Kellcat Financial System Health Check is a structured review designed to help you understand the current state of your bookkeeping system before any services are discussed.

We don’t pitch solutions until we understand what you actually need.

This Health Check helps answer questions like:

  • Can you trust your numbers right now?

  • Where is financial clarity breaking down?

  • Is clean up likely needed? If so, how much?

  • What would it take to make your financials reliable month after month?

There is no obligation to move forward after completing it.

Who This Health Check Is Designed For

This Health Check is a good fit if you:

  • Are a business owner, founder, or operator (not a hobby business)

  • Use Quickbooks Online, Xero, Zoho Books, Digits, Puzzle or other accounting software

  • Have ongoing monthly transactions

  • Want confidence in your numbers without managing bookkeeping yourself

  • Feel your books are “mostly fine” but don’t fully trust them

  • Want fewer surprises at tax time

This Health Check may not be the right fit if you:

  • Are looking for DIY bookkeeping tutorials

  • Only need one-time tax prep

  • Are pre-revenue or inactive

  • Want hourly bookkeeping support without systems

This review is designed for owners who value clarity, structure and repeatable systems.

Most Businesses Don’t Have a Bookkeeping Problem.

They have a Clarity Problem.

Traditional bookkeeping focuses on recording the past. But business owners need clear and reliable answers to make decisions.

When systems are inconsistent, reports are late, or numbers change month-to-month, confidence erodes even if you technically “have a bookkeeper.”

Common signs of a clarity problem:

  • Reports exist, but don’t feel trustworthy

  • Numbers change after they’re delivered

  • You hesitate before making financial decisions

  • Tax time feels reactive instead of routine

  • You sense blind spots, but can’t pinpoint them

The Financial System Health Check is designed to identify why this happens and what to do about it.

What the Financial System Health Check Reviews

The Health Check evaluates your bookkeeping as a system, not just a set of reports.

1. Business & System Complexity

We look at hour your business is structured, how many moving parts exist, and where complexity may be outpacing your current bookkeeping setup.

2. Accounting Platform & App Ecosystem

We assess how accounting software is being used, what’s connected, and whether integrations are helping or quietly creating risk.

3. Monthly Close & Reconciliation Discipline

We evaluate how consistently your books are closed, reconciled, and finalized and whether reports reflect reality.

4. Reporting & Decision Readiness

We assess whether your reports and dashboards actually support decisions or just exist because they’re “standard.”

What You’ll get After Completing the Health Check

After reviewing your Health Check, you’ll receive:

  • A clear summary of your current bookkeeping system

  • Identified risks, gaps, or inconsistencies

  • Whether cleanup is likely needed

  • A high-level estimate of time and scope (if applicable)

  • A recommendation for next steps:

    • No changes needed

    • One-time cleanup

    • Ongoing system support

You’ll know exactly where you stand even if you decide not to move forward.

No obligation. No pressure. Just clarity.

About Access to Your Books

Some businesses can be assessed based on structure and process alone. Others require a deeper look.

If your Health Check indicates that a more detailed review is needed, we may request read-only access to your accounting software file in Quickbooks Online, Xero, Zoho Books, Digits, Puzzle or other accounting software.

Access is:

  • Read-only (no changes made)

  • Temporary

  • Used only to assess cleanup scope and system health

  • Removed if we don’t proceed

You remain the owner and administrator of your books at all times. You will never be asked for access without clear context or explanation.

Who’s Conducting This Assessment?

The Health Check is conducted by Brian Kelly, founder of Kellcat Bookkeeping.

Brian brings a unique perspective:

20+ years of accounting knowledge
Grew up working in his mother's CPA firm, learning bookkeeping, tax prep, and client service from childhood through early adulthood.

10+ years of software engineering
Built mission-critical software systems in the aerospace and defense industry where reliability and accuracy weren't optional.

Real World Bookkeeping Experience
Ran a bookkeeping and tax practice while working full-time as a software engineer for over a decade.

This rare combination means the Health Check evaluates your books through both:

  • An accountant's lens (accuracy, compliance, tax-readiness)

  • An engineer's lens (system reliability, automation opportunities, scalability

You're not just getting a bookkeeper's opinion. You're getting a systems analyst who understands accounting.

What Business Owners Say about Us

By the Numbers:

50+ Health Checks completed

Average time to complete: 6 minutes

85% of businesses discover gaps they didn't know existed

Zero obligation to proceed—many don't, and that's okay

Why This Health Check Is Different

Most "free consultations" are thinly disguised sales calls.

You spend 30 minutes on the phone, they pitch their service, you feel pressured to decide.

Kellcat Health Check is different:

  • It's a structured diagnostic, not a sales pitch

  • You get written results (not just a verbal "here's what you should buy")

  • It evaluates your system holistically (bookkeeping + automation + reporting + workflows)

  • Conducted by someone with 30+ years accounting and 10+ years engineering (rare combination)

  • No pressure (many businesses complete it and don't move forward which is fine with us)

Most importantly: We don't recommend services until we understand your actual needs.

If your books are fine, we'll tell you.

If you need minor cleanup, we'll tell you.

If you need a complete overhaul, we'll tell you.

Honest assessment first. Solutions second.

Step 3: Discovery Call (20-30 minutes, scheduled at your convenience)

We have a conversation to learn more about your business, understand your specific challenges, and determine if we're a good fit.

This call happens whether you completed the Health Check or scheduled directly.

What we discuss:

- Your business model and revenue structure

- Current bookkeeping pain points and challenges

- What "good" would look like for your situation

- Whether Kellcat is the right fit for your needs

- If you skipped the Health Check, we'll gather that information during this call

What happens next:

- If it's clearly not a fit, we'll tell you honestly and may refer you elsewhere

- If it looks like a potential fit, we'll request access to your accounting file for a detailed assessment

- What you do: Decide whether you want to move forward with a detailed assessment

Step 4: File Access & Detailed Assessment (if you proceed)

If we both agree it makes sense to continue, we'll request read-only access to your accounting software to conduct a thorough assessment.

What we request:

- Read-only access to your accounting software (no changes made)

- Access to recent bank/credit card statements (if needed)

- Any relevant documentation for context

What we do:

- Deep dive into your books (categorization, reconciliation, chart of accounts)

- Identify specific gaps, risks, and cleanup needs

- Calculate accurate scope and pricing

Timeline: 2-3 business days for detailed review

What you do: Grant temporary read-only access (remains in your control)

Step 5: Written Assessment & Proposal (delivered via email)

You receive a comprehensive written assessment with our findings and recommendations.

What you get:

- Detailed evaluation of your current bookkeeping system

- Specific issues identified (categorization errors, reconciliation gaps, etc.)

- Cleanup scope (if needed) with timeline

- Transparent pricing breakdown

- Proposal for ongoing service (if applicable)

- Clear next steps

What you do: Review the assessment and proposal on your own timeline

Step 6: You Decide What to Do Next (No Pressure)

Option 1: Accept the proposal and move forward
→ We send onboarding documents and begin cleanup/setup

Option 2: Not ready yet or need time to think
→ Take all the time you need.

Option 3: It's not the right fit
→ You have the assessment for your records and can use it to evaluate other options or DIY improvements.

We don't chase. We don't pressure. We provide clarity and let you decide.

Health Check Frequently Asked Questions

Is this really free?

Yes. Completely free. No credit card required. No hidden fees.

You get a written assessment of your bookkeeping system whether or not you decide to work with us.

How detailed is the assessment?

It depends on your situation.

For some businesses, we can assess based on structure and process alone.

For others, we may request read-only access to your accounting file to provide a more accurate assessment.

Either way, you'll get a clear written summary of what we found.

What if I’m using accounting software other than QuickBooks Online or Xero?

Q: What if I'm using accounting software other than QuickBooks or Xero?

A: The Health Check is designed for any accounting platforms.

Mention your software in the Health Check form and we'll let you know if we can assist.

Do I have to commit to anything after the Health Check?

The Health Check is a diagnostic. You receive results. You decide what to do next.

Many businesses complete the Health Check and don't move forward and that's completely fine.

The Health Check is designed to assess messy books too. We'll tell you honestly:
